Privacy Policy

This Privacy Policy explains what Notary School collects, why, and who can see it. Some of what we collect is required of us by California regulation, and we say so where that is the case. 1. What we collect - Account information: your email address and the display name you choose. If you sign in through Google or LinkedIn, we receive your email address and basic profile information from that provider. - Identity verification: your full legal name, the type, number, expiration date and issuing state or country of your government photo identification, and the photograph of that identification you upload. California regulations (2 CCR sections 20800.1(d), 20800.5(c) and 20800.6) require an approved education vendor to establish and record this. We never collect Social Security numbers, and California regulation prohibits us from doing so. - Study records: which lessons you open, your answers to practice questions, and the time you spend studying. State law requires us to be able to show that you were present for the required instruction time. - Certificate records: a snapshot of the details printed on your Proof of Completion, kept as our record of issuance. - Purchase records: what you bought, when, and the refund-policy version you were shown. Card details are handled by our payment processor; we never see or store your full card number. - Technical data: ordinary server and analytics data such as IP address, browser type and pages viewed. 2. How your ID information is protected Your identification number is encrypted before it is stored, and only the last four digits are shown in our own interfaces. The photograph of your identification is stored in private storage and is reachable only through a short-lived link generated for a reviewer. Your Proof of Completion is stored privately and can be downloaded only by you and by our staff — there is no public certificate page and no shareable certificate link. 3. Who we disclose to We do not sell your personal information, and we do not share it for advertising. - Your identity and attendee records are disclosed only to the California Secretary of State, a district attorney, a city attorney, or the Attorney General. California regulation (2 CCR section 20800.6(c)) permits no one else. - Service providers process data on our behalf: our hosting and database provider, our payment processor, and the providers used to generate and translate course content. They act on our instructions. - We may disclose information where the law requires it. 4. How long we keep it We keep the attendee list and certificate records for at least two years from the date each Proof of Completion was issued, as California requires. Because those are regulatory records, deleting your account does not delete them; we sever them from your account instead. Other personal data is deleted on request. 5. Your choices You can view and update your profile, and request deletion of your account, from the profile page or by writing to us. Deletion removes your account and study data but not the regulatory records described above. You may request a copy of the personal information we hold about you. 6. Cookies We use cookies that are necessary to keep you signed in and to remember your language. We do not use advertising cookies. 7. Children The service is intended for adults applying to be a notary public. California requires an applicant to be at least 18 years old, and we do not knowingly collect information from children. 8. How We Handle Google User Data

This section describes how Notary School accesses, uses, stores, shares and retains data obtained through Google when you choose to sign in with Google. It supplements the Privacy Policy above. Data We Access When you select "Continue with Google," we use Google OAuth to authenticate you and request only the basic profile scopes: your name, email address, profile picture and your Google account identifier. We do not request access to Gmail, Drive, Calendar, Contacts or any other Google service, and we cannot read them. How We Use It Solely to create and sign you into your Notary School account, and to contact you about your course and your Proof of Completion. Your Google display name is a convenience only — the name printed on your Proof of Completion is the legal name you enter during identity verification, which must match your government photo identification. How We Store and Protect It Your email address and account identifier are stored in our authenticated user database. We never receive or store your Google password. All traffic is served over TLS. Sharing We do not sell or transfer Google user data to third parties, and we do not use it for advertising or to train any model. It is disclosed only to the service providers that host our application, and where the law requires. Retention and Deletion We retain it for as long as your account exists. You may disconnect Notary School from your Google account at any time in your Google account settings, and you may request account deletion by writing to support@notary-school.com. Note that the attendee and certificate records California requires an approved education vendor to keep are retained separately for the period the regulations require, as described in the Privacy Policy.
